Privacy Policy

Cadence is committed to protecting your personal data in accordance with Singapore's Personal Data Protection Act 2012 (PDPA). This policy explains what data we collect, how we use it, and your rights.
1. Who We Are
Cadence is a fitness coaching service operated in Singapore. We are the data controller for the personal data you provide when using our service. Contact: enquire@cadencecoach.fit.
2. Data We Collect
We collect the following personal data when you use Cadence:
- Identity data: First name, last name
- Contact data: Email address, WhatsApp number
- Health and fitness data: Age, gender, height, weight, injury history, pain areas, sleep quality, stress levels, training history, and fitness goals — provided via our onboarding form
- Payment data: Billing information processed by Stripe (we do not store your card details)
- Usage data: Weekly check-in responses, programme progress, and coaching notes
- Communications: Messages exchanged via WhatsApp as part of the coaching service
3. How We Use Your Data
We use your personal data for the following purposes:
- Delivering the service: Building and maintaining your personalised training programme
- Coaching and accountability: Sending weekly check-ins, coach notes, and programme adjustments via WhatsApp
- Communication: Sending onboarding emails and service-related updates
- Billing: Processing and managing your subscription payments via Stripe
- Service improvement: Analysing anonymised aggregate data to improve programme design (no individually identifiable data is used for this purpose)
We will not use your data for marketing purposes without your explicit consent.
4. Health Data
Fitness and health information (injuries, sleep, stress, body metrics) is sensitive personal data. We collect it solely to design a safe, personalised training programme for you. It is accessed only by your assigned Cadence coach and is never shared with third parties except as described in Section 5.
5. Who We Share Data With
We share your data only with the following third-party service providers, strictly as necessary to operate the service:
- Stripe: Payment processing. Stripe is PCI DSS compliant. View Stripe's privacy policy at stripe.com/privacy.
- Google: Onboarding form data is collected via Google Forms and stored in Google Drive. View Google's privacy policy at policies.google.com/privacy.
- Notion: Your training programme and coaching notes are stored in Notion. View Notion's privacy policy at notion.so/privacy.
- Meta (WhatsApp): Weekly coaching check-ins are sent via WhatsApp. View Meta's privacy policy at whatsapp.com/legal/privacy-policy.
We do not sell your personal data. We do not share your data with any third parties for their own marketing purposes.
6. Data Retention
We retain your personal data for as long as you are an active subscriber and for up to 12 months after your subscription ends. After this period, your data is securely deleted unless we are required to retain it for legal or regulatory purposes.
Health and fitness data is deleted upon request at any time (see Section 8).
7. Data Security
We implement reasonable technical and organisational measures to protect your personal data from unauthorised access, disclosure, or loss. These include access controls on our data systems and use of encrypted connections for data transmission. However, no system is completely secure, and we cannot guarantee absolute security.
8. Your Rights Under the PDPA
As a data subject under Singapore's PDPA, you have the right to:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of any inaccurate or incomplete data
- Withdrawal of consent: Withdraw consent for us to use your data at any time (note: this may affect our ability to deliver the service)
- Data portability: Receive your data in a structured, commonly used format

9. Cookies
Our website (cadencecoach.fit) does not use tracking or advertising cookies. Basic analytics may be collected by our hosting provider (Netlify) for operational purposes.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email. The current version is always available at cadencecoach.fit/privacy.html.
